“Services” means all products, digital content, memberships, consulting, coaching, AI tools, and other offerings we provide.

“AI Tools” refers to custom-built AI assistants and integrated systems including OpenAI, Anthropic (Claude), Google (Gemini), Chipp.ai, Base44, MindPal, and NotebookLM, accessed via API integrations, automation platforms, and direct applications.

“Third-party Processors” refers to external platforms we use to operate our business.

“Transcription Tools” refers to tools we use to generate transcripts of calls and sessions for accessibility and operational purposes, including Tactiq.

5. Applicability of Privacy Laws

We voluntarily adopt practices informed by GDPR, CAN-SPAM, TCPA, and U.S. privacy standards. We are monitoring our obligations under the California Consumer Privacy Act (CCPA) as our business grows. Our Services are not intended for users under 18. We do not knowingly collect Personal Information from individuals under 18. If we become aware that we have collected information from a minor, we will take steps to delete it promptly.

9. AI Tools and Your Data

We Thrive Collective offers AI-powered tools and assistants as part of our Services, including custom GPTs, AI assistants within the Functioning & Feral Hub, and integrated AI features within Soleila.io. We also use AI tools internally to operate our business.

How AI Tools Process Your Data

  • When you interact with our AI assistants, the content you input (prompts, business details, questions) may be processed by third-party AI providers. These providers include OpenAI, Anthropic (Claude), Google (Gemini), Chipp.ai, Base44, MindPal, and Google NotebookLM.
  • OpenAI and Anthropic (Claude) are accessed via API through automation platforms including Make.com. When data is processed through API access, neither OpenAI nor Anthropic uses your inputs to train their models by default, in accordance with their current API terms. We recommend verifying this directly at openai.com/privacy and anthropic.com/privacy as these terms may change.
  • Google Gemini is used through our paid Google Workspace subscription and as a standalone application. Under Google Workspace paid terms, Google does not use your Workspace data to train AI models. Use of the standalone Gemini application is subject to Google’s consumer privacy terms, which may differ. We recommend reviewing Google’s privacy policy for full details.
  • We do not intentionally route sensitive personal client information through consumer-tier AI applications. Where client data may be processed through API-based AI tools, it is handled in accordance with the API terms of the applicable provider.
  • AI-generated outputs are provided for informational and strategic purposes only. They do not constitute legal, financial, or medical advice.

What We Recommend

  • Avoid entering sensitive personal information (Social Security numbers, financial account details, health records) into any AI tool.
  • Treat AI-generated content as a starting point, not a final product. Always review outputs before using them publicly or in business decisions.
  • If you have specific concerns about how a particular AI provider handles your data, we encourage you to review their privacy policies directly using the links provided above.

10. Cookies and Tracking Technologies

Our Website uses cookies and similar technologies to improve your experience, analyze traffic, and support marketing efforts.

13. Transcription and Accessibility

We Thrive Collective uses Tactiq, a third-party transcription tool, to generate transcripts of calls and sessions we attend or host. This is an accessibility accommodation that supports how we operate as a neurodivergent-led business.

How Transcription Works

  • Calls and sessions may be transcribed using Tactiq. This applies to one-on-one client calls, group sessions, and any other calls we host or attend.
  • Transcripts are owned by us, not Tactiq, in accordance with Tactiq’s stated data ownership policy.
  • Transcripts are used for internal purposes including session notes, program development, and accessibility support. They are not sold or shared with third parties outside of the processors named in this Policy.
  • Tactiq stores data on Google Cloud infrastructure and operates under Australian privacy law. Their handling of data associated with transcription is governed by their own privacy policy, which we encourage you to review at tactiq.io/privacy.
  • We are aware that Tactiq’s privacy policy includes language relating to advertising use of collected data. We are not certain whether this applies to transcript content or only to usage and behavioral data. Until we have written clarification from Tactiq, we recommend reviewing their privacy policy directly if you have concerns about how your data may be used.

Your Options

If you do not wish to be transcribed during a live session, you may turn off your camera and microphone or contact us in advance at hello@nmpservices.org to discuss your options.

14. Third-Party Processors

We use the following categories of third-party services to operate our business. These processors may have access to your Personal Information only as needed to perform their functions:

  • CRM and Business Operations: GoHighLevel (powering Soleila.io)
  • Website Hosting: Namecheap / EasyWP
  • Payment Processing: Stripe
  • Email and SMS: GoHighLevel, integrated email services
  • AI and Automation: Anthropic (Claude, via API), OpenAI (via API), Google (Gemini, via Google Workspace and standalone app), Chipp.ai, Base44, MindPal, Google NotebookLM, Make.com
  • Analytics: Google Analytics (or applicable analytics provider)
  • Scheduling: GoHighLevel calendar integrations
  • Community and Content: Membership portals hosted within Soleila.io
  • Transcription and Accessibility: Tactiq (used to generate meeting transcripts as an accessibility accommodation; transcripts are owned by us and used for internal purposes only; please review Tactiq’s privacy policy for full details on their data handling practices)

We select processors that maintain reasonable security practices. We recommend reviewing their individual privacy policies for additional detail.

15. Data Retention

We retain Personal Information for as long as necessary to provide our Services, fulfill the purposes described in this Policy, and comply with legal obligations. When information is no longer needed, we take reasonable steps to delete or anonymize it.

If you request deletion of your data, we will process your request within 30 days, subject to any legal requirements that may require continued retention.

16. Data Breach Notification

In the event of a data breach that affects your Personal Information, we will notify affected individuals promptly. Notification will be provided by email to the address associated with your account. Where required by applicable law, we will also notify relevant regulatory authorities within the timeframes those laws require.

Our notification will include, to the extent known at the time: a description of the nature of the breach, the categories of data affected, the likely consequences of the breach, and the steps we are taking to address it and prevent future occurrences.

We work with our third-party processors to ensure that any breach affecting data they hold on our behalf is reported to us in a timely manner so that we can fulfill our notification obligations to you.

Some links on our Website may be affiliate links. If you make a purchase through an affiliate link, we may earn a commission at no additional cost to you. Affiliate relationships do not influence our recommendations or the content we create.
